Executive Operations Manager

Imagemakers seeks a driven, detail-oriented, warm-hearted Executive Operations Manager to work directly with our President to achieve top agency objectives and ensure effective workflow across the agency. The ideal candidate will combine big-picture thinking with detail-oriented decision-making to proactively solve challenges and identify opportunities to help Imagemakers thrive.

The Executive Operations Manager should have a proven ability to track details and resolve tasks to meet agreed-upon objectives in a fast-paced environment while sustaining excellent working relationships. Candidates should be passionate about communication, proactive in solving challenges, and personable in sustaining the agency’s upbeat and engaging culture.

  • Collaborate closely with our President on agency priorities, learning new tasks and procedures quickly and carrying out tasks from beginning to end to fulfill agree-upon objectives.
  • Coordinate daily calendars, activities and requests of leadership. Manage calls and sort President’s emails and communications.
  • Respond promptly to requests from President, clients and staff. Serve as point of contact between leadership, staff, clients and vendors.
  • Provide daily briefing to president of his communications, schedule and tasks as well as noting upcoming events and obligations to ensure efficient workflow within agency.
  • Raise awareness of scheduling, team calendars and other aspects of the workplace that require executive oversight or that impact agency workflow.
  • Run weekly staff meeting.
  • Process legal and accounting paperwork with discretion.
  • Plan and coordinate meetings, tasks and travel. Facilitate all internal communications.
  • Assist in sustaining the agency’s positive, upbeat culture. Enforce agency policies and office procedures.
  • Coordinate with vendors to order supplies. Occasional light cleaning after meetings and organizing office materials.
  • Suggest more efficient ways to run the office and troubleshoot malfunctions.
  • Review and recommend changes to our company policies.



  • Proactive problem solver able to take on and resolve tasks within the context of agency priorities, goals and workflow.
  • Ability to create and sustain great working relationships with president, leadership and team.
  • Excellent organizational skills with an ability to think proactively and prioritize tasks.
  • Proven experience with creative problem solving and following precise task flows within time constraints.
  • Strong working knowledge of office procedures, enacting office policies and sustaining a positive work culture.
  • Experience with Google G Suite, online calendars, and ideally with QuickBooks, conferencing and collaboration tools, such as Skype, GoToMeeting and Trello.
  • Experience using office equipment, including video conferencing, printers and fax machines.
  • Excellent communication skills (via phone, email and in-person).
  • Experience exercising discretion and confidentiality with sensitive company information.
  • Three to five years professional work experience.
