Job Summary

Imagemakers seeks an executive assistant to support the work of the agency's president and to manage key operational functions. Reporting and working directly with the president, the executive assistant is tasked with managing the president's communications and schedule, and interacting with clients, partners and vendors on a wide variety of projects and issues. The executive assistant must be able to articulate the agency's services and interact with a range of personalities in a warm, engaging and authentic way. The ideal candidate is highly organized and detail-oriented, an exceptional communicator, a hands-on problem solver, and a warm and able collaborator. This position is full time and located at our Wamego headquarters. We offer competitive salary and benefits. This is not an entry-level position.

 

Responsibilities

Working directly with the president, the executive assistant has key responsibilities that impact the success of the agency, including to:

  • Interface with agency contacts, as assigned, on behalf of leadership
  • Articulate the agency's strengths and services to prospective clients and partners
  • Create and maintain exceptional relationships with internal and external contacts
  • Process all incoming emails and calls for the president, routing as appropriate and elevating to leadership as needed
  • Manage the president's calendar, including scheduling meetings, team lunches/activities
  • Manage insurance and contracts, including NDAs, client contracts, vendor contracts, HR contracts, occasional legal items, etc.
  • Oversee preparation and drafting of RFP responses, proposals and presentation materials
  • Assist with internal HR functions as assigned
  • Manage hiring processes, including overseeing job listings, advertising and applicant screening
  • Manage incoming sales inquiries and customer communication
  • Assist with day-to-day operational needs, such as ordering supplies, supervising cleaning, bills, and vendor relationships

 

Requirements

  • 3+ years experience as an account lead or executive assistant, preferably at an interactive or marketing agency
  • Bachelor's degree, preferably in business, marketing or communications
  • Positive attitude, team player, self-starter
  • Passion for learning, collaboration and problem-solving
  • Excellent communicator in-person, on the phone and in writing
